Dear Music Teacher,
Congratulations on being selected to participate in the Arts Education Branch Instructional Music Summit this school year! We are thrilled to have your ensemble join us. This event is designed to be an enriching and rewarding experience that will help your students grow musically and bring your ensemble to the next level.
Below are important details and action items to help you prepare for the event:
1. Media Release Forms
Please ensure that every participating student has submitted an LAUSD Media Release Form before the event. (See attachment) You do not need to submit this form to us. Make sure your school has them on file for every participant.
2. Field Trip Preparation (Transportation)
(Skip this section if your school is the host site.)
Form 78.20R: Complete the top portion only—no signatures are required, as our office covers the transportation cost. (See Sample)
Email the completed form to Margarita Mortel (cc’d in this message) at [email protected] and cc me.
Once approved, our office will return the signed form to you.
Upload the signed form to the Fieldtrip platform and secure your bus reservation (select “LAUSD Bus”).
On the iFieldTrip form, check the “Reimbursable” box and use Cost Center 1025801.
To reserve buses, visit: https://www.lausd.org/Page/17178.
Click “Buses for Field Trips,” then click “FieldTrip.”
Log in with your Single Sign-On and complete the required information.
3. Performance Preparation
Scores: Bring three (3) sets of scores for the adjudicators.
Performance Length: Maximum of 5 minutes (typically one piece).
Repertoire List: Complete the form here: Repertoire List Form.
Stage Setup: Complete the attached Stage Setup Sheet, scan it as a PDF, and email it to me as soon as possible.
4. Equipment (*Only for Instrumental Music Summits)
Please bring:
All personal instruments (including certain percussion items not provided on site).
Crash cymbals, mallets, sticks, triangles, and other small percussion instruments.
Provided by Host Site / Arts Education Branch:
Music stands and chairs
The following percussion instruments (except for Mariachi, Modern Band, and Choral Summits):
4 Timpani
Concert Bass Drum
Snare Drums
Vibraphone, Marimba, Xylophone, Glockenspiel
Gong, Concert Chimes, Suspended Cymbals
5. Attire
Formal concert attire is strongly encouraged (though not required). A professional-quality video recording will be made of your ensemble, and formal dress enhances your presentation.
6. Ensemble Introduction
Please prepare a brief introduction (under 1 minute) for your ensemble.
This may be presented by you or a student. Be sure it is written and rehearsed to ensure a smooth flow.
When describing your ensemble, include your ensemble level so adjudicators can provide more appropriate feedback.
7. Lunches
Submit a student roster with Student IDs to assist in ordering school lunches as soon as possible to Dr. Joseph Yune ([email protected])
Please ensure every student picks up their lunch, even if concessions are available, so none are wasted and we can continue to provide district lunches in the future.
If the host site offers snack or food sales, I will share that information once confirmed.
8. Transportation Schedule
Please use the following bus schedule when reserving transportation:

Important: Each bus accommodates up to 55 passengers.
If you have more than 55 participants or need instrument cargo space, please reserve two buses and note the cargo requirement in your request.
9. Schedule
Your group will perform in the AM section. Your group is required to stay the entire AM section from 8:00 AM to 12:00 PM. A more detailed schedule will be sent in the following emails.
